Business Communication is an essential part of any venture. Beyond the use of pictures, graphs and charts to pass across your message to potential clients, there exists probably the most important part the interaction and that is the actual verbal communication, you know, the one between a client and a business owner/customer service representative, that’s the one that can determine a whole lot of things about the business. Not only does it give an immediate impression of your business but it also determines if you’ll be getting those jobs and referrals.
It’s not uncommon for many business owners to double as the customer care representative for their business, especially small businesses and startups, while this can be a good thing in that it saves money, it can also have some negative sides to it. In part, handling your own clients as a business owner will help you create a good first impression, offer additional options because you know more about the business and also make favorable decisions for both parties. The downside to this is, handling this part of the business as well as other parts can lead to a burnout, it can be stressful and exhausting, also note that some certain types of clients won’t make the experience pleasant.
Running a business is hard work, a lot of mental, physical and emotional energy goes into the planning and execution at every stage. It is therefore not advisable for the business owner who handles the logistics of the business to also be the first point of contact, if you can afford it, hire an experienced hand.
This reminds me of an experience I had a while back, I needed some items so I got in touch with an Instagram vendor who responded after three days and didn’t even bother apologizing for the late response, mind you, she specifically said you could place orders through the DM. Will I be contacting her again? I doubt that, especially since I found another vendor who offers the same services and responds on time. Imagine she had someone to handle that part of the business of her who would respond on time and help her get more sales.
There are simple ways to ensure a smooth communication for your business;
#Respond on time
#Create an easy channel for contact (sending direct messages to place orders or make inquiries, add a phone number that can be reached during working hours, you can even add an email address).
#Fact check every information to avoid confusing the client.
#Ask questions
#Listen
#Remain professional.
